Writing for the Web – tips 2

I attended an ITLP Writing for the Web course in OUCS yesterday and thought I’d share some tips I picked up.

Before you start your web page or website you should do the following:

  1. clarify the objective – write this in one sentence
  2. clarify the audience
  3. gather relevant information
  4. think about the structure

When writing material

  • the first paragraph on a page needs to be the conclusion; this is the opposite way around to ‘normal’ writing – the attention span of readers on the web is low, you need to snare them and reel them in straight away otherwise the message is lost
  • the first sentence of a paragraph should say what the paragraph is about (see above)
  • make your page scannable:
    • use highlighting for key issues but don’t overdo it, readers often only scan the headings, highlighted text and hyper-links
    • use bullet-point lists
    • make it concise – web readers have less patience
      • keep it short – 15-20 words per sentence
      • keep it simple
      • cut the waffle
      • focus on the action – use active voice not passive voice: “dog bit man” is active “man was bitten by dog” is passive
      • focus on the reader – use appropriate language, be positive, remove all ambiguity
      • get it right – use correct punctuation and spelling, this gives the reader confidence
      • make it look good – use images, subtle use of colour, use sans serif fonts
        • when using the WYSIWYG HTML editor in WebLearn always start a page from a template (click the button)
    • use meaningful and correctly nested headings (this is also very important for accessibility)
      • the first two words of a heading are the most important: use “Diana killed in car crash” not “Car crash kills Diana”
      • use content specific words at the start of a heading: use “Hurricanes – general information” not “General information about hurricanes”
    • have one idea per paragraph
    • have 2-3 sentences per paragraph
    • put the conclusion first – make it concise
  • make your pages accessible (this is a legal requirement for educational material)
  • use consistent terminology
  • think about what the reader needs to know not what you want to tell them
  • use browser plug-ins to help authoring (or develop the text in Word first but remember to take care when pasting into a WYSIWYG HTML editor – see below)
  • if you are developing a series of pages then make sure navigation is included, Dreamweaver will help you do this; breadcrumb menus help here
    • use spell check and grammar check

Using Word to Author text

It is a good idea to prepare your text in Word but do not paste this directly into a WYSIWYG HTML editor, if you do this the resultant web page will be a complete dogs breakfast with all sorts of unwanted mark-up being stored behind the scenes.

When using Word:

  • use the spell check and grammar check
  • use Tools > Options > Spelling > Readability Statistics to report on use of passive voice
  • don’t worry about highlighting, formatting and layout
  • copy the text with a mouse and post into a plain text editor such as Notepad
  • copy the text from Notepad and paste into the WYSIWYG HTML editor this will remove all the garbage that Word inserts behind the scenes
  • format the text in the WYSIWYG HTML editor

The new Site Stats tool

Major WebLearn upgrade

WebLearn was upgraded on 3rd November 2009 to version 2.6-ox1. This was a major release and incorporates the new version of Sakai 2.6 (the software upon which WebLearn is based).

New Facilities – The Highlights

  • Upgrade to Sakai 2.6 (see below)
  • Addition of ‘Make Web Content Link’ to every item in Resources via the ‘Actions’ menu – this is an easy way to add a ‘Web Content’ link to a file or folder in Resources to the left-hand side tools menu
  • Addition of interactive participant group browser – this makes finding groups much easier
  • Office 2007 documents are now searched
  • Oxford term dates subscription now works; easier method of term dates display
  • New much improved ‘Site Stats’ tool (version 2)
  • ‘Switch role’ facility for ‘contribute’ and ‘access’ roles in published sites, (‘view site as a student’ facility)
  • Addition of ‘Podcasts’ tool
  • Notifications now user email account (instead of postmaster@weblearn.ox.ac.uk) users can now reply to notifications.
  • Addition of ‘Nexus’ link on every page

How do Administration Sites work?

First of all one should read these two step-by-step guides:

Here is a summary of the basic points:

  • an Administration Site is said to manage one or more (regular) sites;
  • members of Administration Sites are the only WebLearn users able to create new sites;
  • Administration Sites have 2 roles: admin and member;
  • participants with the member role:
    • can create sub-sites of any site where they have the maintain role;
    • cannot visit the Administration Site;
  • participants with the admin role:
    • can create sub-sites of any site where they have the maintain role;
    • can visit and ‘maintain’ the Administration Site and therefore can:
      • add tools;
      • make changes to the participant list;
      • assign roles to participants;
    • have automatic maintain rights in a site that is managed by the Administration Site without actually being a member of the site in question.

How do I display a WebLearn calendar in my email client (Nexus)

The best way to do this is to subscribe to a WebLearn calendar (rather than import) so that new events or changes to existing events are reflected.

First of all, the ”Schedule” on a site needs to be exported (click on the ”export” button). Copy the URL of this calendar into the address bar of your browser, then change ”’https://”’ to ”’webcal://”’ and press return. You should see a dialogue box appear asking what external program should open this file, select Outlook (or Sunbird or Thunderbird (with the Lightening plugin) or Entourage). The calendar will then open in your mail client.

All WebLearn icons now stored within the system

WebLearn uses a series of free icons known as the “Silk Icons”. All these icons are now accessible from within WebLearn from the following location.

On occasions, it may be useful to display these images on a page, for example to give instructions on what buttons or links to click on,  or to add a dash of colour to written instructions.

The images are stored in a public area so can be used in all contexts. Look at the file 1-silk_icons_index.png to see which image is which.

Any bioscientists out there?

If anybody from the Biosciences want to do a bid in conjunction with the WebLearn team then please get in touch. Here’s the SP.

Subject: UK Centre for Bioscience: Funding available

The UK Centre for Bioscience is currently accepting bids for our Departmental
Teaching Enhancement Scheme which offers up to £15,000 to bioscience
schools and departments to develop and implement some aspect of practice
that will lead to an improved learning experience for their students. Deadline
for expressions of interest: January 15th 2010. Deadline for full proposal: 7th
April 2010.

In addition we are currently holding round 12 of our Teaching Development
Fund which provides support of up to £4000 to individuals to encourage the
development, establishment or validation of innovative learning, teaching and
assessment materials or methods. Application deadline: 29th January 2010.

Both calls are open to those working in Higher Education Bisocience Teaching
and Learning in England, Northern Ireland, Scotland or Wales.

Search now working

After the upgrade to version 2.6-ox1 (on 3rd Nov) we discovered that the search tool was no longer finding the majority of documents.

The “search index” was completely rebuilt on Friday 6th Nov which solved the problem.
